Briefly

A mileage log is an overview of all kilometers you drive with a car, broken down into business and private.

For each trip, the Tax and Customs Administration requires the date, the start and end odometer readings, the departure and arrival addresses, the route driven, and the nature of the trip. You must retain these records for seven years. Automatic registration prevents the errors that render manual records unusable. No subscription means: you purchase the tracker once, and for the 4G connection, the TrackJack app, and the portal, you pay for the service in advance, for a term of your choice and without automatic renewal.

Mileage tracking in Excel or automatically?

Manual is allowed, but it almost always goes wrong at the same point.

GPS tracker in the car, with the route in the TrackJack app
  1. Manually in Excel

You record every trip yourself. If you forget one, the records are no longer complete and the proof becomes invalid.

  2. Automatically with a small box

The device records every trip as soon as you drive off. You don't need to start, enter, or remember anything.

  3. Ready at a check

You export the requested period to Excel, PDF, or an audit file, and submit it.

Four tabs, that's all you need. Your trips, details per trip, your overview, and the map.

Tax-proof

What does the Tax and Customs Administration require from your mileage log?

  • All trips, not just business

Private trips must also be included in the records. Otherwise, they are not complete.

  • Six pieces of information per trip

Date, start and end readings, departure and arrival addresses, route, and the nature of the ride.

  • Keep for seven years

The statutory retention period for your records also applies to this.

  • Demonstrably correct

With a quality mark system, you do not need to separately substantiate its operation.

Frequently asked questions about mileage tracking

Is your question not listed? Our specialists are happy to help you personally.

Company car on the road, the trip is automatically recorded

Is mileage registration mandatory?

Not always. If you drive fewer than 500 private kilometers per year with a company car and do not want to pay tax on the benefit-in-kind, you must prove this with a complete mileage log. Registration is also required for a delivery van with a declaration of exclusively business use.

Is mileage tracking mandatory for more than 500 kilometers?

If you drive more than 500 private kilometers per year with a company car, you pay tax on the benefit-in-kind, and mileage registration for that purpose is no longer required. You can still choose to keep one, for example, to substantiate business mileage or to track your fleet.

When do you need to keep a mileage log?

As soon as you want to demonstrate how much you drive for business and private purposes. This applies to avoiding the taxable benefit, deducting business mileage from your private car, and a declaration of exclusively business use for a delivery van.

When do you not need to keep a mileage log?

If you do not have a company car, or if you simply pay the taxable benefit and do not need to substantiate business mileage. If you are unsure about your situation, consult your accountant. The rules vary by vehicle type and scheme.

Why mileage tracking for a company car?

For a company delivery van, you can avoid the tax addition by submitting a declaration of exclusively business use. The Tax and Customs Administration may then request proof that the vehicle was indeed not used privately, and that proof is a conclusive mileage log.

Who is responsible for the mileage log?

The driver who wishes to avoid the tax addition is responsible for accurate record-keeping. In the case of a company car, this lies with the employee, even if the employer is the owner. As an employer, you can facilitate this by making a certified system available.

What is Service & Support?

Service & Support is the fee for the 4G connection, the TrackJack app, and the online portal. It is separate from the one-time purchase of the tracker. You pay in advance for a term of your choice, from six months to five years, and it does not renew automatically: at the end, you choose whether to continue. That is why we do not call it a subscription.
